Document Management – Protecting Your Files and Yourself

File management, we all know we need, it is not only necessary for proper organization but a HUGE part of protecting yourself as well. The Inspection Support Network is the total file management system for your business.
Did you know, not only can you store your completed inspection reports on your ISN safely and securely without worry but also, any and all other documentation pertaining to that individual inspection as well? Having this documentation all in one convenient location for quick and easy reference is invaluable. No more cluttering up your office or garage with paper files that can easily be destroyed but you will be environmentally conscious too.
Let’s start with attaching your inspection reports;
The ISN let’s you manually upload your completed inspection reports with ease. Here is a short overview video to help show you how http://support.inspectionsupport.net/2010/01/uploading-reports-manually/.
Here are a few screen shots as well.
From the inspection grid (Inspections-View Inspections) locate the blue circle with the white check mark all the way to the right of the inspection you want to upload. Clicking on this tab will bring up a screen allowing you which option you would like to use to upload your report as follows;
Once you upload your report and go back to the inspection grid you will now see another icon that looks like a piece of paper with a green arrow pointing to the left.

You can also view your attached report by clicking on the blue circle icon with the white “i” in it and scroll to the bottom.

Done, now your inspection report is saved and easily accessible with an internet connection from anywhere in the world.
Now let’s attach any other documentation you have relating to this particular inspection. Checks, agreements or other paperwork brought to you at the inspection can be scanned and attached as well. Again from the inspection grid click on the icon for the attachments. Notice if you hold your computers mouse over the icon it will show you how many attachments there are for that order.

To attach your scanned and saved document, double click on the Attachment icon, browse to locate your file and click Add Attachment. You will be able to view, email or print the attachments any time needed.

With detailed notes from conversations, etc., your completed report and attached documents you now have a very thorough and concise timeline of events relating to this inspection at your disposal should you ever find yourself in need of them.
In the field and a client calls with a question about your report? Realtor wants to know if you received the check? No problem. Grab an internet connection and pull up the inspection in the field and you are able to answer everything on the spot. Fantastic customer service and no returning calls when you get back to your office.

Replacement Values

The ISN template system, which includes email and calendar templates, allows for inserting values pertaining to inspection orders and all associated parties. In addition to the values listed here, you can use your Order Form Fields as replacement values as well. To use an Order Form Field, just head over to your Office Settings -> Fields and Controls and click on the section where your controls of interest are located. You will see a column containing the replacement value for each control.
